What is a project?I define a project as something temporary with a defined starting and ending point, and provides a product or service that will add value. Some times projects get confused with programs but they are very different. Programs are typically set up with no ending point for example, operations and maintenance for a new building will be ongoing long after the project is completed and when budgeting a program we use a Life Cycle cost. Typically project management implements 5 process groups for a project: Initiation, Planning, Executing, Control & Monitor, And Closing.

Initiation is a process that occurs at the very beginning of a project. This is when stakeholders decide to acknowledge a need for a project. An example would be when a company reviews its Capital Improvements Program and identifies a need for a product or service.

Planning is the process that will formulate project goals and objectives. Planning includes the most processes of all the project management process groups. Documentation developed during the planning process is critical to the executing, controlling & monitoring, and closing process groups. Planning is very important because it has effects on all the other areas of project management and include budget reviews, activity definitions, project scope, schedule development, risk ID, Staffing, procurement planning ect.

Executing is the process that will put the project plans to work. This is where the project manager will coordinate and assign resources to facilitate project success. This process will use up most of the project time and resources and will cause the most conflicts over schedules.

Controlling & Monitoring is the process that will indicate how well a project is progressing, what areas are failing or falling behind. In construction we use inspectors to provide the control and monitoring. Typically, the inspectors will discover a problem and provide corrective action.

Closing is the process that is most often skipped but is very important to bringing the project to a formal end. Final acceptance is needed by the stakeholders before a project can be closed. Close-out procedures should be outlined in the project charter.
