When assigning budget and resources to projects it’s important to know that you will get a return from each investment especially during times of financial uncertainty. As a manager or owner of a business the daily barrage of calls offering this offer for that product and huge savings, increased productivity etc, etc can get a little tedious.Telecoms companies are amongst the most frequent callers and they always encourage the upgrade of the office telephone system. But why would you upgrade if the system you have is still working? Good question.

Would it be a benefit if you or your staff could work from home?

Did you know that flexible shifts rank higher than more pay for the majority of employees? And that each home worker can save your business £3,500 per year by reducing sick days and saving on electricity and other utility charges.

Some modern telephone systems will allow you or your staff to work from home using an IP Phone. These phones use the internet to connect back to your main system, creating a secure tunnel so that the user can use the handset as they would in the office. All the calls to office extensions are free and outgoing calls use the main company lines, reducing time consuming expenses claims.

As the home worker is part of the office phone system you can still see when they are on the phone and monitor the extension just like internal extensions through call recording or reporting etc.

Do you or your staff work out of the office?

Mobile working is a reality in most businesses. We have all had scenarios where we have missed an important message because it was on the mobile voicemail or had to tell an important customer to call back on the office number because you can’t transfer from your mobile to the office. It’s doesn’t reflect well on your business if you putting communication barriers in the way of customers.

Mobile twinning is the latest feature available some business telephone systems. When a call is delivered to your office handset is also rings the mobile phone if the call is answered on the mobile the telephone system still has control of the call. By using a piece of software installed on the mobile we can now use system features such as hold, transfer, conference and even record calls.

Have you got more than one office or branch?

If the answer is yes and you don’t already link your phone systemstogether then it’s time you took a look at the savings that are possible not to mention the opportunities.

A high percentage of calls made within businesses with more that one branch are made between sites. By linking the systems together over the internet these calls become free which could save you a packet.

What is you average order/account value? More important that making a savings on internal calls is the increase in efficiency that this type of networked phone system can offer. Incoming calls can ring at multiple branches allowing more calls to be answered and less lost calls.
